Implementation Project Specialist
Location: Remote
Vynca is a fast-paced, fun entrepreneurial environment incredibly passionate about transforming end-of-life care. We are actively looking for an Implementation Project Specialist to support the day-to-day management of clients and implementation projects. This position will report to the Director of Implementation Services and will work closely with internal and external project teams to ensure that the contracted services of a client are delivered in accordance with the executed contract and client expectations. The Project Specialist assists and/or manages the evaluation, planning, and execution of new client implementations. This role centers on communicating expectations, challenges and solutions to clients while performing tasks as needed to ensure quality and accuracy throughout the implementation phase of the client lifecycle.
Responsibilities
- Lead and/or assist multiple implementation projects concurrently
- Provide support for all required document creation and maintenance throughout the project, leveraging best practices, and ongoing improvements
- Establish and manage project scope, goals, deliverables, requirements, project plans and timelines with input from client and internal stakeholders
- Gather client requirements, manage client expectations and meet client requirements
- Conduct workflow analysis and consult clients on optimal workflows for clinicians, admins and patients
- Manage internal and external communications effectively and in a timely manner
- Schedule and lead internal and external meetings with timely distribution of agendas and meeting minutes.
- Collaborate effectively across internal teams, including sales, support, product management & engineering
- Use internal communication and escalation pathways effectively to resolve issues and manage risks
- Develop and maintain project plans from initiation to closure of project as needed
- Monitor, validate and report status of project tasks and deliverables for internal and external stakeholders
- Establish and document best practices to ensure consistency in the execution of future projects
- Obtain knowledge and become proficient with Vynca products, features and functionality. Keep up to date on new versions and changes
- Understand, articulate and convey integration strategies and technical specifications including protocols such as HL7, FHIR, and SAML.
- Advise on, present, and support product configuration during the implementation
- Assess complex situations, seek collaborative solutions and prepare and present recommendations
- Synthesize knowledge of information systems and workflows to collaboratively plan and carry out implementation activities
- Analyze cross-departmental impact of individual user or department level system/workflow change requests and work effectively with client stakeholders to manage competing or conflicting requests and needs
- Resolve client inquiries, maintaining ownership through resolution
- Perform root-cause analysis, develop logical conclusions, and suggest appropriate workarounds
- Deliver solution configuration and end-user training that drives adoption and satisfaction
Requirements
- A Bachelor’s degree in Information Technology, Healthcare Administration, or a related field of study
- A minimum of 3 years of experience in Healthcare IT
- A minimum of 3 years of experience in Project Management
- Proven experience leading distributed teams remotely
- Working knowledge of
- software development lifecycle and the SaaS model
- integration technology and concepts, including HL7, FHIR, SSO, SAML
- project management methodologies, including Waterfall, Agile and Lean
- HIPAA and standards of patient data privacy and confidentiality
- Excellent interpersonal, verbal and written communication skills
- Exceptional time management and organizational skills
- Excellent problem-solving skills
- Exceptional attention to detail and commitment to both accuracy and quality
- Proficient with web-conferencing software (Zoom, Google Meet, Teams, etc.)
- Proficiency with GSuite, JIRA and MS Office
Preferred Qualifications
- PMI training or certifications (PMP, CAPM, ACP)
- Experience leading clinical application implementations and integrations with Electronic Health Records
- Experience with Epic Hyperspace or Cerner Millennium platforms
- Experience supporting IT needs for acute, post-acute or ambulatory care delivery
- Experience implementing web-based SaaS solutions
The successful candidate must be able to:
- Interact professionally with a diverse group of stakeholders internally and externally including physicians, caregivers, leadership, analysts, UX architects, designers and engineers
- Excel at multitasking, context switching and fluid prioritization of multiple concurrent projects
- Establish and maintain effective, referenceable relationships with clients
- Comfortably provide guidance to Clinical and IT professionals, driving cooperation and buy-in
- Communicate potential risks, conflicts or issues confidently and effectively
- Initiate changes, introduce new ideas, and be unafraid to ask questions
- Demonstrate a strong initiative and the ability to work in a fast-paced environment
- Demonstrate a strong work ethic, be self-motivated, accountable and reliable
- Adapt their schedule to accommodate client working hours across the country
- Travel occasionally for company and client events (when safe to do so)
- Provide and maintain their own high-speed internet connection
- Legally work in the United States — Visa sponsorship is not available.
